Customer Service Representative

Supports sales and marketing efforts by assisting in developing new prospects and maintaining/expanding existing accounts. Understands the customer’s business and helps customers utilize our services effectively. Monitors jobs in progress and makes sure production has clear instructions and the necessary components to complete the job accurately and on time.


  • Learns and understands the needs of prospects and customers and actively seeks opportunities to sell new services.
  • Writes up the work order for new jobs. Includes explicit directions for all components on what, when, where and how each operation is expected to be done.
  • Makes sure all components of the job are available at the time the job is entered into production. If they are not available at that given time, finds out the date they will be available.
  • Serves as the customer’s contact once the job is in-house. If there are outside services, sends out a quote request, creates a purchase order, sends the job to the vendor, and serves as the contact for that vendor.
  • Follows up with the job daily to monitor progress and provide any information production staff needs to complete the job on time.
  • Updates and maintains information in Mail-Shop program for each job.
  • Makes sure postage monies are available before the job is scheduled to drop.
  • Services customers by solving problems, gathering information and monitoring the quality of the customer’s job. Informs customers and appropriate internal personnel of any potential problems to insure timely resolution.
  • Prospects for new customers and finds proper contact(s) within prospect organizations.
  • Follows marketing plan to contact and nurture prospects to become customers.
  • Maintains good prospect/customer relations and satisfaction.
  • Updates prospect/customer database.
  • Produces and maintains sales correspondence.
  • Provides back-up support to administrative staff. Assists with incoming/outgoing telephone calls, invoicing, typing estimates, writing up jobs, lunch and break coverage, vacation coverage.
  • Other support duties as requested.

Must enjoy working with people and have outstanding communication skills with clients and co-workers.

Must exhibit empathy for prospects and customers, their problems and needs, as well as exhibit the same level of sensitivity for co-workers.

Possess strong communication skills, business ethics and etiquette.

Utilize professional telephone techniques and effective interpersonal communication skills.

Initiate and maintain good organization of records and information.

Ability to solve practical problems and deal with variables in project requirements.

Handle multiple tasks and prioritize. Attention to detail.

Work closely with management and keep them informed of issues as they arise.

MS Office experience is necessary, especially Word and Excel.

Experience in Act! or similar contact management software is a plus.
